Privacy Policy
Effective July 23, 2026 · Last updated July 23, 2026
The short version. Gear List Ready collects only what it needs to make your lists work and sync across your devices. We do not sell your data. We do not use it for advertising. We do not track you across other apps or websites. There are no advertising or analytics trackers in the app.
1. Who we are
Gear List Ready is an independent app built and operated by Ted Warm, a sole proprietor based in Colorado, United States. Throughout this policy, "we," "us," and "our" refer to Gear List Ready.
Questions about this policy or your data can be sent to support@gearlistready.com.
2. What this policy covers
This policy applies to the Gear List Ready iOS app and the web app at app.gearlistready.com. Both run on the same backend and are covered identically. It also covers the marketing website at gearlistready.com.
3. Information we collect
We collect the following, and nothing else:
| What | Why we have it |
|---|---|
| Email address | You provide it when you create an account. It identifies your account and lets you sign in and reset your password. |
| Display name | Shown to other people on lists you share, so collaborators can see who added or was assigned an item. You choose it and can change it. |
| Account identifier | A random ID generated when your account is created. It links your lists to your account. |
| Photos you attach | Photos you choose to attach to list items are stored so they appear on your lists across devices. |
| Your list content | List, category and item names, notes, quantities, packing progress, Category Packs you create, trip destination and dates, and any description you type into the AI list generator. This is the content of the app. |
All of the above is associated with your account. We need it to be — that is what makes your lists yours and lets them sync between your phone and the web.
What we do not collect
- We do not collect your device location. If you add a destination to a trip, that is text you typed, not a reading from your device's GPS.
- We do not collect analytics or usage data. There is no analytics SDK in the app.
- We do not collect crash or performance diagnostics.
- We do not collect contacts, health data, financial information, browsing history, or advertising identifiers.
- We do not use cookies for tracking on the app. The marketing website uses only what is necessary to serve the page.
4. How we use your information
Everything we collect is used for one purpose: operating the app. Specifically, to store and sync your lists, authenticate you, let you share lists and see who else is on them, generate lists when you ask the AI to, show a weather forecast when you add a destination, and respond to you if you contact support.
We do not use your information for advertising, for building a profile of you, for training AI models, or for any purpose you would not expect from a packing list app.
5. Tracking
Gear List Ready does not track you. We do not collect data about you across apps or websites owned by other companies, we do not share data with data brokers or advertising networks, and we do not use advertising identifiers. Because we do not track, the app does not ask for App Tracking Transparency permission.
6. Service providers
We do not sell or rent your information to anyone. We do use a small number of service providers to run the app. Each one receives only what it needs:
| Provider | What it receives |
|---|---|
| Google Firebase (Authentication, Firestore, Storage, Cloud Functions) |
Our hosting and database backend. Stores your account, your lists, your Category Packs, and your photo attachments. Google processes this on our behalf under its data processing terms. |
| WeatherAPI.com | The destination text and dates for a trip, in order to return a forecast. No account identifier is sent, and the request is not stored against you. |
| OpenAI | Only used when you choose to generate a list with AI. The trip description you type is sent so a list can be generated and returned. Your account identifier and email are not sent. OpenAI retains API inputs for a limited period for abuse monitoring and does not use them to train its models. |
We may also disclose information if we are legally required to, or where necessary to protect the rights or safety of our users or ourselves.
7. Shared and collaborative lists
When you share a list, everyone you share it with can see the contents of that list, including item names, notes, quantities, photo attachments, packing progress, and your display name where it appears on assignments. They can also add and edit items in real time.
Sharing is entirely your choice, and it is per list. People on a shared list cannot see your other lists, your Category Packs, or your account details beyond your display name. If you would rather a collaborator not see something, do not put it on a shared list.
8. Data retention and deleting your account
We keep your information for as long as your account exists.
You can delete your account at any time from inside the app: Settings → Account → Delete Account. This permanently deletes your account and your data, including your lists, your Category Packs, and your photo attachments. It cannot be undone.
Content you contributed to a list owned by someone else may remain on that list after your account is deleted, because it belongs to that shared list rather than to you alone. Your display name will no longer be associated with it.
Backup copies may persist for a short period after deletion as part of routine backup rotation, after which they are overwritten.
9. Your rights
You can access and correct most of your information directly in the app, and you can delete all of it using the Delete Account option described above.
Depending on where you live — including if you are in Colorado, California, or the European Economic Area or United Kingdom — you may also have the right to request a copy of your information, ask us to correct or delete it, object to or restrict certain processing, and appeal a decision we make about such a request. We honour these rights regardless of where you live. Write to support@gearlistready.com and we will respond within the time your local law requires, and in any case as promptly as we can.
We do not sell personal information and we do not share it for cross-context behavioural advertising, as those terms are defined under California and Colorado law.
10. Security
Your data is stored on Google Firebase infrastructure and is encrypted in transit and at rest. Access is controlled by database security rules so that you can reach your own data and the lists shared with you, and not other people's. Passwords are handled by Firebase Authentication and are never visible to us.
No system is perfectly secure. We encourage you to use a strong, unique password for your account.
11. Children
Gear List Ready is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has created an account, contact us at support@gearlistready.com and we will delete it.
12. International users
We are based in the United States and our service providers store data in the United States. If you use the app from outside the United States, your information will be transferred to and processed there, where privacy laws may differ from those in your country.
13. Changes to this policy
If we change this policy we will update the date at the top of this page. If a change materially affects how we handle your information, we will give notice in the app before it takes effect.
14. Governing law
This policy is governed by the laws of the State of Colorado, United States, without regard to its conflict of law provisions.
